X Gallery helps you manage your art collection by creating a detailed collection inventory to organize the information associated with each artwork.

Creating an inventory starts with establishing a database system and is then built by capturing the essential information for each object.

An inventory is necessary for almost all phases of collection management, including catalog development, display rotation, appraisal, loan, conservation, estate and legacy planning, dispersal, and sales.

X Gallery can host your inventory in our collection management system, or integrate new data with your existing system. Inventories created by X Gallery and held in our collection management system are available to clients free of charge through our online digital portal with private client login.

What else should I think about?

How do you charge for inventory services? X Gallery charges for inventory services at an hourly rate based on a project estimate which will be provided before work commences.

What kind of information do you need to create an inventory? At a minimum, a detailed inventory record will contain the following information:

  • Title

  • Artist

  • Creation date

  • Dimensions

  • Notation of provenance

  • Materials/Medium

  • Condition notes

  • Edition notes when applicable

  • Artwork images 

  • Current location

How can I access my collections? You can view your collection 24 hours a day, 7 days a week on the X Gallery digital portal. If you would like access to the physical work, we are happy to arrange that with you or your preferred designee.

Why would I need a digital portal? X Gallery’s digital portal allows you to view each of your objects and to have easy online access to your inventory. It provides an efficient visual tool to share your artwork with other potential collectors, insurers, gallerists, or beneficiaries. We can also attach appraisal or insurance documentation, provenance notes, or other special information that you provide. Below is a sample view of our portal.
