Collection Management Services

X Gallery works closely with you to organize and document your collection by creating physical and digital records of—as appropriate—artwork, images, exhibition materials, correspondence, sketches, financial records, and specialized materials used in an artist’s work.

For collectors, this work helps you manage your art collection by creating a detailed collection inventory to organize the information associated with each artwork. An inventory is necessary for almost all phases of collection management, including catalog development, display rotation, appraisal, loan, conservation, estate and legacy planning, dispersal, and sales.

Creating an inventory starts with establishing a database system and is then built by capturing the essential information for each object. X Gallery can host your inventory in our collection management system, or integrate new data with your existing system. Inventories created by X Gallery and held in our collection management system are available to clients free of charge through our online digital portal with private client login.

For artists and heirs of artist estates, documenting an artistic career into an artist’s archive will help you gain the physical and intellectual control necessary to tell the artist’s story and manage the artists’ legacy. Creating an artist archive involves:

  • Organizing and creating physical and digital records (inventory) of artwork, images, exhibition materials, correspondence, sketches, financial records, and specialized materials used in an artist’s work;

  • Studio organization that supports a structure for tracking & seizing opportunities for exhibits, grants, public art, press, interviews, residencies, and awards; and

  • Storage and preservation planning, which sets you up for the work of legacy management. Managing an artistic legacy primarily involves making decisions about the future of your artistic assets. X Gallery offers tools to help you make these decisions and to manage the placement or dispersal of your body of work.
